I. What is the HoRenSo method?

The HoRenSo method is a distinctive Japanese communication approach used in team settings, aimed at optimizing workplace communication and bringing value to organizations. HoRenSo stands for three essential concepts: Hokoku (報告) - Reporting, Renraku (連絡) - Communicating, and Sodan (相談) - Consulting.

1. Applying Hokoku (報告) - Reporting

In the HoRenSo framework, reporting involves proactively informing superiors about work progress and results. This ongoing communication is crucial for keeping supervisors updated on project developments and expected completion times.

For IT Communicators (Comtor), who often handle project timelines and provide progress reports during daily meetings with clients, it is vital to stay on top of task statuses within the team and actively communicate this information.

2. Applying Renraku (連絡) - Communicating

Effective communication, like reporting, is a key component of successful teamwork. It involves timely and clear sharing of information, making it a challenging yet essential skill in the HoRenSo method.

In the IT industry, when projects face changes or issues, IT Communicators must promptly communicate these updates to clients to find the best solutions. Given the nature of outsourcing, with Vietnamese and Japanese teams often working online and across different time zones (typically a 2-hour difference), identifying the best time to communicate can be difficult.

Example: If a developer working on task X suggests an alternative approach due to an inefficiency in the current design, the IT Communicator needs to quickly seek the client's opinion on the proposed change. Delayed communication could slow project progress. For instance, if the proposal is sent to the client at 5 PM Vietnam time, it is already 7 PM in Japan, when the client may have finished work. This delay could extend the discussion to the next day, causing a ripple effect on subsequent tasks.

3. Applying Sodan (相談) - Consulting

Consultation is the final element of the HoRenSo method, enabling team members to share information and collaboratively solve problems.

Engaging in discussions within the team provides diverse feedback, fresh ideas, and different perspectives, helping to develop the best possible solutions.

Though the HoRenSo method for teamwork may seem straightforward, mastering it requires practice and regular application. To effectively implement these principles, consistent training and practical experience are essential.
